I am missing emails prior to March 2023

I am missing emails prior to March 2023.  How do I gain access to these old emails?  I need to find several important emails for a potential legal issue.  I have tried several seach options and re-sorted by date.  I did not delete them.

Hi there, @user_122wiu. I can certainly understand how important it is to access those emails, especially for legal matters. Let’s look into a few ways we can locate or recover them.

 

I would check the trash and spam folders. Sometimes emails are accidentally filtered. If deleted within the last 14 days, they can still be restored. You may also review the mail auto-delete settings. In our Xfinity Connect webmail, navigate to Settings (gear icon) > Mail Settings. Check if any custom folder rules or cleanup settings are moving messages out of your inbox.

 

Then, try recovering deleted items (Xfinity Connect Webmail). If the emails were moved or purged recently, you can attempt a manual recovery:

- Log in to Xfinity Connect Webmail.

- Right-click the Trash folder (or click the three dots next to it).

- Select Recover Deleted Items.

- If your missing emails appear in the window, select them and click Restore to Folder.

 

There may be email client (IMAP/POP) sync issues. If you use a third-party email client (like Apple Mail, Outlook, or Thunderbird), review the following: For POP3 download - If your software was set up using POP3 protocol, it may have downloaded the emails directly to your device and removed them from the Xfinity web server. Check the local storage on the computer or phone you were using back in 2023. For IMAP sync limits - Check your email app settings to ensure it isn't set to sync only recent messages (e.g., "Limit sync to 1 year").

 

Regarding account inactivity and server retention, our webmail accounts require regular sign-ins to remain active. If an account goes unused for an extended period, older emails may be automatically removed per standard retention policies. Additionally, once items are purged from the system trash recovery tool, server-side restoration is generally not available.

 

If you have already checked these steps and the emails do not appear in the Recover Deleted Items menu, please let us know if you were accessing your inbox through a specific email app or strictly through the web portal so that we can assist you further! Thanks.

Hi,

I did not delete the emails.  I am not using a 3rd party email servies.  I only log on to Xfinity webmail directly.

@user_122wiu - Thank you for clarifying that you access your email strictly through Xfinity webmail. Since third-party apps and manual deletion are ruled out, here are the remaining steps and possibilities we need to look into.

 

Xfinity email accounts must maintain regular activity to preserve archived content. If there was a period of 12 consecutive months when the account wasn't logged into (even if you logged in active before or after), the mailbox is marked inactive, and older messages are automatically purged per our retention terms. Once purged due to inactivity, those emails cannot be restored.

 

To ensure the webmail interface isn't hiding filtered messages:

- Click the dropdown arrow next to the Search bar in Xfinity Connect.

- Change the search location to All Folders (instead of just Inbox).

- Clear any date range filters and search using a specific keyword or sender address rather than scrolling by date.

 

If your account has been continuously active without any extended gaps in login history, we might be able to have you submit a request to our security team, or submit a request to our engineering team to investigate if a server-side backup or recovery option is available for your account.

 

To help us escalate this, could you confirm if the email was logged into regularly throughout 2023 and 2024?

"All folders" was selected.

Yes, this is our business email account and it is used daily.   The email box usage is olny 43%.

Thank you for confirming that. Since this mailbox is used daily, “All Folders” is already selected, and storage is only at 43%, the inactivity and storage explanations would not account for what you’re seeing.

 

The fact that your received mail stops around March 2023 and your Sent folder stops around May 2023, aside from one older message, also makes this look less like a search or filtering issue and more like something that needs to be reviewed at the mailbox level.

 

At this point, we don’t want to keep having you repeat the same troubleshooting. We’d like to review the account and mailbox history and determine whether there is a server-side issue or whether a ticket needs to be opened to investigate the missing older messages.

Also, my sent email only go back to May 2023.  Except 1 sent email from November 2022.  I think this is very old.
